SUBJECT:

Consideration and possible action to approve a contract with DecorIQ for the leasing, installation, and maintenance of the 2022 holiday lights, the installation and maintenance of the building cornice lights, and the installation and removal of the holiday wreaths and tree through Buyboard Contract #643-21 in the amount not to exceed $114,055.23 -- Eric Johnson, Public Works Director; Trish Long, Facilities Manager; and Cari Miller, Tourism Manager 

ITEM SUMMARY:

The proposed scope of work includes: leasing, installing, maintaining, and removing holiday lights on 48 trees in the downtown, and 6 trees on the Williamson County Courthouse lawn; installing and maintaining the building lights along the cornices of buildings downtown; and installing and removing the 67 wreaths on the antique light poles downtown, as well as the Christmas tree on the Courthouse lawn.

 

DécorIQ is a qualified bidder and staff had positive experience with their project manager during the 2015, 2016, 2017, 2018, 2019, 2020, 2021 seasons.

 

Staff is recommending approval to use DecorIQ for the 2022 Holiday Lights in the amount of $114,055.23

FINANCIAL IMPACT:

Funding is contingent upon Council approval of the FY2023 Budget.

 

The funding for the holiday lights comes from several sources:

 

Lease, installation, maintenance, and removal of tree lights for 48 trees - $71,186.61 (Source: Convention & Visitors Bureau funding)

 

Lease, installation, maintenance, and removal of tree lights on the 6 large trees around the Williamson County Courthouse – $12,036.60

Purchase, installation, and maintenance of building cornice light - $23,482.01 (Source: Facilities ISF)

 

Installation and removal of Christmas wreaths and tree - $7,350.00
