SUBJECT:

Consideration and possible action to approve an annual appropriation of $82,960.00 to Gartner, Inc. for Information Technology advisory services and support -- Chris Bryce, IT Director

ITEM SUMMARY:

This item is one of several annual technology maintenance appropriations that are submitted for advanced approval at the beginning of each fiscal year so that invoices may be paid in a timely manner when they are received.

The City of Georgetown utilizes the services of Gartner, Inc. for strategic and technical guidance in managing the City’s expanding and increasingly complex technology portfolio.  Gartner, Inc. is widely considered the world leader in providing comprehensive information technology advisory services.  Gartner, Inc. assists in virtually all areas of information technology management by providing consultations with subject matter experts; directly assisting with technology selection; and providing access to their extensive technology library.  The City leveraged Gartner, Inc. to reduce costs and risks when entering large technology contracts in recent years. Additionally, Gartner, Inc. provided a comprehensive study of the City’s utility software portfolio and provided recommendations for streamlining processes, reducing costs, and improving customer services. The City plans to resume its utilization of Gartner, Inc. as it continues to evaluate and replace its aging portfolio of enterprise software applications.

The 2022 cost also includes a one-time fee for an additional month of services to align payments with the City’s fiscal year that begins in October.  Historically, payments were due on October 1 of each year, which presented challenges because of the fiscal year end closing. From this point forward, payments will be due in November.

Gartner, Inc.’s services are purchased in accordance with contract terms set by the State of Texas’ Department of Information Resources contract DIR-TSO-4099.

FINANCIAL IMPACT:

All items were budgeted during the FY 2022 budget process. Expenses in the amount of $82,960 will be recorded in IT – Software Maintenance Subscriptions and Support Services.
